The University of Portland seeks a Program Manager for Undergraduate Scholarly Engagement. This position is responsible for collaborating with the Assistant Provost to develop and implement policies and programming for programs overseen by the Assistant Provost, represent these programs on and off campus, and coordinate the smooth functioning of operations. Additionally, the Program Manager advises University of Portland students on fellowship and grant opportunities and applications.

Fellowship & Grant Advising

  • Maintain a strong knowledge of fellowship and grant opportunities available for students, monitor competitions, and maintain a strong knowledge on the student profile each competition seeks in successful applicants.
  • Apply knowledge of grants to determine which awards are appropriate for interested students, advise all students who express interest in applying for fellowships or grants about applicable fellowship opportunities and specific program information; provide advisees support throughout application process for major nationally competitive merit-based scholarships and fellowships.
  • Certify and endorse UP student applications to granting agencies.
  • Represent the University externally, through presentations, conference participation, professional organizations and/or professional development activities; provide advising expertise to granting agencies by serving as competition adjudicator when invited.

Program Management

  • Develop, manage, and execute a variety of programs for the Division, such as the Honors Program, Fellowships and Grants, Founders’ Day & Awards Breakfast, Undergraduate Research, and others that arise, with minimal review by the Assistant Provost.
  • Collaborate with Assistant Provost to develop program goals, objectives, and policies.
  • Develop procedures and systems to accomplish program goals; manage program data, providing analysis for evaluations.
  • Manage program budgets; monitor and analyze current spending and request adjustments as needed, provide forecasting for budget development, prepare annual budgets for final approval.
  • Manage student workers: hire, train, supervise, assess performance, set priorities, and approve hours worked.
  • Lead institution-wide work groups and collaborate with departments across campus to accomplish program objectives; present work to deans and program directors to further initiatives.
  • Advise student groups overseen by USE.
  • Assist the Office of Studies Abroad with technical training and student supervision when needed.

Education and Experience

  • Required: Bachelor’s degree.
  • Preferred: Master’s degree with 2-3 years of related advising and program coordination experience.
  • Or a combination of equivalent education and/or experience.

Knowledge, Skills and Abilities

  • Proactive attitude, initiative, and ability to work independently and as part of a team.
  • Demonstrated experience in advising and working in a higher education setting; discretion and good judgment in handling confidential information.
  • Proven ability to work collaboratively and effectively with other organizations, faculty, staff, parents, and students; able to establish rapport with aforementioned groups.
  • Outstanding verbal and written communication; excellent organizational and analytical skills with attention to detail and the ability to multi-task; commitment to customer service.
  • Competence with and commitment to diversity and inclusion; ability to be an effective partner with diverse students, faculty, and staff.
  • Willingness and ability to periodically attend and facilitate early morning, evening and weekend programs.
  • Ability to establish effective working relationships, professional rapport, and effectively accomplish work within a University setting that includes a wide array of individuals, groups, policies, and processes.
  • Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.
