The University of Portland seeks a Program Manager for Student Engagement for the Office of Student Activities. This position is responsible for supporting and co-creating engaging, diverse and dynamic programming to help form community building of campus life that promotes the University of Portland mission. Through outreach and partnerships, the Program Coordinator will build a network of professional and student collaborators on-campus while working with community vendors to facilitate and encourage active student participation in extracurricular activities. This position will promote and coordinate student engagement in meaningful programming and inclusive learning opportunities for students which occur during evenings and weekends that are sponsored by the Office of Student Activities and student clubs and organizations.

  • Oversee, develop, and implement a variety of programs and events for students with an emphasis on activities for evenings and weekends, including both smaller scale events and more complex, large events, such as concerts and dances. This includes all phases of strategic planning; contract negotiation, event organization and scheduling, arranging for facilities and security, identifying and fulfilling staffing needs for the event, acting as liaison with outside vendors, etc.
  • Advise the Campus Programming Board (CPB) and work closely with Associated Students of The University of Portland (ASUP) leadership in program and event planning.
  • Collaborate with other campus community members (recognized clubs, student organizations, academic and campus departments, and others) to grow a network of engaging programs and involvement opportunities.
  • Develop marketing and communication plans to ensure awareness and attendance at campus events. Utilize the Engage platform and partner with the professional and student leadership of the Office of Student Activities, Marketing & Communications Department, the Office of Residence Life, Campus Safety, Athletics, and others as needed to execute the communication strategy.
  • Hire, train, and manage a large group of student employees, including oversight of student directors that lead fellow students. Determine appropriate staffing levels for events and ensure appropriate coverage.  Supervisory responsibilities include hiring processes, setting of expectations, training and professional development, performance management and evaluations, and disciplinary processes including termination of employment.
  • Maintain comprehensive files for each major initiative that tracks student participation and provides post-event analysis that includes budget recap and participant feedback.
  • Collaborate with Associate Director of Student Engagement in assessment of program evaluation to determine avenues for improvement and/or continued implementation for future academic years.
  • Evaluate and make recommendations on resource options and vendors; negotiate as appropriate.
  • Support and guide student clubs and student leaders in preparing vendor contracts for signature and following appropriate University policies and process in purchasing supplies and materials for a variety of events.

Education and Experience

  • Required: Bachelor’s degree and previous experience in event planning, marketing, and/or project management.
  • Preferred: Master’s degree in a relevant area, such as marketing, business, student affairs.
  • Preferred: proficiency with audio, visual and lighting technology devices.
  • Strongly preferred: previous experience working in higher education.
  • Or a combination of equivalent education and/or experience.

  • Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.*
